1. Introduction

This Privacy Policy explains how Teamwork Homecare Services Ltd ("Teamwork Homecare", "we", "us", or "our") collects, uses, stores, shares and protects personal data when you visit our website, contact us, book care, apply to work with us, or receive our services. We are committed to handling personal data lawfully, fairly and transparently, in line with the Constitution of the Republic of Uganda, the Data Protection and Privacy Act, 2019, and other applicable Ugandan laws.

2. Who we are

Teamwork Homecare Services Ltd provides professional homecare nursing, elderly care, physiotherapy, palliative care, post-delivery care, post-surgery care, oxygen supply, medical staffing and medical consultation services in Kampala, Wakiso and surrounding areas of Uganda. 3. Scope of this policy

This policy applies to personal data processed through our website (including booking and enquiry forms), phone and WhatsApp communications, email, in-person consultations, care delivery in clients' homes, and applications submitted through our Apply as Nurse process. It applies to clients, patients, family members or guardians who arrange care, website visitors, and job applicants.

4. Personal data we collect

Depending on how you interact with us, we may collect: (a) identity and contact details such as name, phone number, email address and physical address; (b) service-related details such as the type of care requested, preferred schedule and location of care; (c) health and care information that you or an authorised person voluntarily provide so we can assess needs and deliver safe care (for example medical history, current condition, medications, mobility needs and care preferences); (d) billing and payment arrangement details agreed with our team (we do not collect payment card details through this website); and (e) for job applicants, professional qualifications, licences, work history and contact details submitted with an application. We may also collect limited technical information such as browser type and pages visited when you use our website.

5. How we collect personal data

We collect personal data directly from you or from a person authorised to act on behalf of a patient (for example a family member or guardian), through our website forms, phone calls, WhatsApp messages, email, consultations, and during the delivery of care. We do not knowingly collect personal data from children under 18 except where a parent or lawful guardian provides information needed for care of a minor, or where required for lawful care arrangements.

6. Purposes and lawful bases for processing

We process personal data to: respond to enquiries and booking requests; assess care needs and match clients with suitable licensed doctors, nurses or midwives; schedule, deliver and coordinate care; communicate about appointments, changes and care updates; arrange billing and payment; improve our services and website; process employment applications; and comply with legal, regulatory and professional obligations. Under Ugandan data protection law, we rely on one or more of the following: your consent; performance of a contract or steps taken at your request before entering a contract; compliance with a legal obligation; and, where applicable, our legitimate interests in operating a safe and efficient homecare service, balanced against your rights and freedoms. Sensitive health-related data is processed only as necessary to provide care, with appropriate confidentiality safeguards, or where required by law.

7. Health and sensitive information

Health and care-related information is treated as confidential. It is used solely to plan, deliver and coordinate appropriate care and related administrative support. It is shared only with the doctors, nurses, midwives or other authorised care professionals directly involved in the patient's care, or where disclosure is required by Ugandan law, a competent authority, or a court order, or where you (or a lawful representative) have given clear authorisation.

8. Sharing of personal data

We do not sell personal data. We may share limited personal data with: assigned care professionals for service delivery; service providers who support our operations (for example website hosting, email or form processing tools) under appropriate confidentiality and security expectations; partner insurers or organisations where you have asked us to coordinate cover or billing with them; and public authorities where required by law. Any third party processing data on our behalf is expected to use it only for the purposes we specify and to protect it appropriately.

9. Cross-border transfers

Our primary operations and records are based in Uganda. Some digital tools we use (for example website hosting or form delivery services) may process data on servers located outside Uganda. Where personal data is transferred outside Uganda, we take reasonable steps consistent with the Data Protection and Privacy Act, 2019 to ensure an adequate level of protection, including contractual and organisational safeguards where appropriate.

10. Retention

We retain personal data only for as long as necessary for the purposes described in this policy, including ongoing care, billing, complaint handling, professional record-keeping and legal or regulatory requirements. When data is no longer needed, we take reasonable steps to delete, anonymise or securely archive it in line with our retention practices.

11. Security

We implement reasonable technical and organisational measures to protect personal data against loss, misuse, unauthorised access, disclosure, alteration or destruction. Access to client and care information is limited to authorised Teamwork Homecare personnel and assigned care professionals who need it to perform their duties. No method of transmission or storage is completely secure; if you suspect a security issue involving your data, please contact us immediately using the details below.

12. Your rights

Subject to the Data Protection and Privacy Act, 2019 and other applicable law, you have the right to: be informed about how your personal data is processed; access personal data we hold about you; request correction of inaccurate or incomplete data; request deletion or restriction of processing where we are not required to keep the data; withdraw consent where processing is based on consent; and lodge a complaint with the Personal Data Protection Office (PDPO) of Uganda or another competent authority. We may need to verify your identity before responding, and some rights may be limited where retention is required for care, legal or regulatory reasons.

13. Cookies and website analytics

Our website may use essential cookies or similar technologies needed for the site to function, and limited analytics to understand general visitor usage so we can improve content and usability. We do not use analytics data to target individuals with advertising. You can control cookies through your browser settings; disabling some cookies may affect site functionality.

We may update this Privacy Policy from time to time to reflect changes in our services, technology or legal requirements.
